Hotel Refurbishment Project Manager
The primary focus of this position is to lead ship hotel refurbishment projects for the New Builds & Refurbishments department. The Project Manager is responsible for the planning, development, and execution of large-scale projects, including conversions, revitalizations, the addition of cabins and balconies, ADA compliance, and hotel repair and maintenance, among others. These projects will be managed within specifications, budgets, and schedules in international shipyards, dry docks, and during service. The Project Manager will supervise and monitor contractors/service vendors (including engineers and designers) on refurbishment activities within the assigned fleet, as well as oversee repair and maintenance projects for hotel operations. This role involves managing multi-million-dollar projects in a fast-paced environment.
Essential Functions:

  • Develop the scope of work required to fully meet the stakeholders’ desired project outcomes. Create specifications for refurbishment areas in compliance with criteria established by the sponsors. Proactively identify opportunities and propose actionable solutions.
  • Prepare bid documents and design/technical specifications. Review and analyze drawings and specifications provided by internal and external architects and designers, offering feedback and adjustments considering functionality, operational needs, and technical aspects (HVAC, electrical, plumbing, etc.).
  • Supervise on-board installations, including on-site inspections at dry docks, to ensure the quality of work completed and adherence to timelines. Ensure all projects comply with applicable regulatory requirements and that all documents are updated and archived for review by regulatory agencies such as Lloyds, the Coast Guard, and ADA authorities.
  • Provide viable solutions and corrective actions in response to unexpected events in a dynamic environment.
  • Ensure that all selected specifications adhere to safety and environmental regulations established by the company and appropriate regulatory agencies. Stay informed on current and future regulations (IMO, USPH, ADA) and their impact on refurbishment and hotel repair/maintenance projects.
  • Liaise with the project development team, stakeholders, architects, designers, electrical and safety managers, and support staff to ensure no aspect of the project is overlooked and that project progress aligns with the original concept. Facilitate effective communication among these individuals.
  • Review shop drawings prepared by contractors and track contractor scheduling for execution plans. Manage the contractor travel approval process and coordinate schedules. Oversee the HMP process for assigned refurbishment projects.
  • Track budget vs. actuals at all stages of the project, including pre-execution, change orders during installation, and post-refit. Manage invoice approvals.
  • Consolidate and evaluate contractor bids. Draft and present business plans, budget analyses, and project timelines to stakeholders across various departments. Ensure accurate and effective information flow within and outside the organization. Maintain close contact with contractors and vendors to resolve challenges proactively. Approve and source substitutes when necessary.
  • Prepare presentation updates for shipboard and shoreside leadership teams, as well as updates during dry dock execution, conveying project status, challenges, and solutions.
  • Manage the project close-out process, including contractor evaluation, gathering as-built documents, approving invoices for contractors, and handling warranty claims for one year following project completion.

Qualifications:

  • Bachelor’s degree
  • Large-scale marine refurbishment experience

Knowledge, Skills, and Abilities:

  • Proficient in MS Office, MS Project, and CAD
  • Understanding of project management, planning, and scheduling within the vessel refurbishment sector
  • Proficient in project management methodologies
  • Strong communication and problem-solving skills
  • Ability to manage multiple projects effectively and coordinate activities in a team environment
  • Leadership experience managing staff with diverse skill sets

Physical Demands:

  • Must be able to remain in a stationary position at a desk or computer for extended periods. Regular movement throughout facilities may be required. Some standing for extended periods may be necessary.

Travel:

  • More than 50% ship and shore-based travel required.

Work Conditions:

  • Primarily work in a climate-controlled environment with minimal safety/health hazards. May require exposure to changing climates or operating machinery, and occasional shifts outside standard hours.

In-Office Position:

  • This role requires employees to work from an office location in South Florida, typically from Tuesday through Thursday, with the flexibility to work from home on Mondays and Fridays. Some roles may require additional in-office time, as determined by management. Candidates must be located in or willing to relocate to the Miami/Ft. Lauderdale area.
